Since 6 April 2026, sole traders and landlords with qualifying gross income over £50,000 must keep digital records and send HMRC quarterly updates through recognised software. - Growing limited companies: payroll integration, multi-user access, inventory and a vast app marketplace. FreeAgent tops out earlier.
- Scale and complexity: multi-currency, project tracking, heavier reporting. If you are hiring or holding stock, Xero stretches further.
- Accountant ecosystem: more advisers know it deeply, which matters if you ever change firms.
The Honest Recommendation Pattern
Sole trader or small landlord banking with NatWest, RBS or Mettle: FreeAgent, and keep the £180+ a year. CIS subcontractor wanting simple records and a clean refund trail: FreeAgent, usually. Limited company past roughly £85k turnover, VAT registered, thinking about staff: Xero, and grow into it rather than migrating later under pressure.
