The Complete CIS Refund Timeline for Harrow Subcontractors: From 6 April to Money in the Bank
Every April the same question comes from Harrow, Wealdstone and Kenton subbies: how fast can I get my CIS refund? The honest answer depends almost entirely on what happens in the first 48 hours of the tax year. Here is the realistic timeline, week by week, and the things that quietly add a month or more.
The fast track: filed in the first week of April
- 6 April: tax year opens. If your records are ready (deduction statements, expense list, bank summary), we file the same day or within 48 hours.
- Weeks 1 to 2: HMRC processes the return. Early-April returns hit an empty queue.
- Weeks 3 to 6: refund lands by bank transfer. Most of our April filers are paid by mid-May.
What adds weeks (or months)
- Missing deduction statements. Chasing a contractor for paperwork in July is slow; collecting statements monthly as you are paid is instant.
- Security checks. First-time claimants and unusually large refunds sometimes get a manual HMRC review. Clean, well-evidenced returns pass fastest.
- Wrong bank details or no bank nominated. HMRC then posts a cheque, adding weeks.
- Filing in January. The queue is at its worst and refunds routinely take 8 to 12 weeks.
The single best habit: a folder (or a photo album on your phone) where every payment statement and receipt lands the day you get it. Clients who do this get filed in April and paid in May, every year.
What a Harrow subbie typically gets back
With 20 per cent deducted at source and expenses properly claimed (van and miles around the North-West London sites, tools, PPE, CSCS, phone), refunds typically run £1,500 to £5,500. Frequently Asked Questions
Can I file before I receive my last deduction statement of the year?
Yes, if we can evidence the final payment another way (bank credit plus contract records). We often reconstruct a missing March statement so filing is not delayed.
Does filing early increase the chance of an HMRC check?
No. Checks are triggered by inconsistencies and unusual figures, not by filing date. An early, well-evidenced return is the lowest-risk return.
My refund was sent weeks ago but nothing arrived. What now?
Usually wrong bank details or a cheque posted to an old address. As your agent we chase HMRC directly and get the payment redirected.
Can I get an advance on my refund?
Some firms sell refund advances with heavy fees taken out of your money. We do not: with April filing the real refund arrives in weeks, and you keep all of it.
I have not filed for two years. Does the timeline change?
Catch-up years are filed together and HMRC processes them in one go. Expect 6 to 10 weeks for multi-year refunds, plus penalty appeals where there are grounds.
Do you need my receipts physically?
No. Photos by WhatsApp or email are fine. We organise them into a proper expense record and keep the evidence file for you.
What does it cost?
Fixed fee, agreed before we start, no percentage of your refund taken. Most Harrow clients pay the fee out of the refund itself.
What if my refund is smaller than the calculator estimate?
The calculator is a guide. Before filing we tell you the exact computed figure and explain any difference, so there are no surprises.
